October Snapshot (BEDS Day) Reporting

Pupils with Disabilities (PD) Special Education VR BEDS SIRS Reporting

Getting Started
The special education BEDS day reporting period, also known as October Snapshot reporting, is a NYSED data collection period that captures the counts of school-age students with disabilities for whom the school district had CSE responsibility as of the first Wednesday in October (aka: BEDS day).  

The reporting requires exports from the student management and special education reporting systems to be submitted through the Student Information Repository System (SIRS).  The District Data Coordinator and Special Education Director work together to facilitate the submission of the SPED data to the Data Warehouse.  Submitted data populates into the VR1-9 reports in the PD Data System, an online tool for the collection, verification, and certification of Special Education Data, where it gets certified by the Special Education Director by the established deadline.

  • Demographics
  • Enrollment 
  • Program Facts:
    • Type of Disability

PD System Reports Requiring Certification:
VR1- Preschool Child Count Report by Race and Ethnicity
VR2- School-Age Child Count by Age and Disability
VR3- School-Age Students by Disability, Race and Ethnicity
VR4- Preschool LRE Setting Report
VR5- School-Age LRE Setting Report
VR6- District Report of Preschool Students by Primary Service Provider
VR8- District Report of School-Age Students by Building of Enrollment
 
VR7 and VR9 are informational reports only but need to be reviewed.

October Snapshot Data Includes:
Students 3 years of age and up by BEDS day, with an IEP in effect on BEDS day, with programs and/or services with dates that span BEDS day, in addition to these reporting rules:
  • Your district has CSE/CPSE responsibility
              • Includes students placed out of district by your CSE
  • Projected Start Date of IEP must be before, or on, BEDS Day
  • Projected End Date of IEP must be after BEDS Day
  • Student must have a Disability Record in IEPDirect
NOTES: 
  • Students who remain in EI will not have TOD record
  • Students who are 'Classified No Services' will have a TOD record, but will NOT have a Snapshot Record (If they were 'Classified No Services' on BEDS day)
             
Data Due Dates:
